When a licensed carrier arrives for your LoadX shipment, the driver needs a vehicle that starts, rolls and can be inspected quickly. Personal items left inside, a dead battery or an active alarm can delay loading — and in some cases the carrier cannot accept the vehicle until the issue is fixed.

Preparation is also your paper trail. Cleaning the exterior makes existing scratches easier to see on the bill of lading, and photos taken before pickup give you a clear record of condition. Wash the vehicle

A clean exterior makes it easier to document existing marks during the pickup inspection. Dirt and road film can hide chips that should be noted on the bill of lading before the truck leaves.

Remove personal items

Carriers transport the vehicle, not household cargo. Empty trunks, glove boxes and under-seat storage. Excess weight and loose objects can create liability issues and may be refused at loading.

Leave about one-quarter tank of fuel

Enough fuel to load, unload and reposition the vehicle — without hauling a full tank of extra weight. Running near empty risks a no-start on a busy trailer deck.

Check the battery

The vehicle should start and move under its own power unless your booking notes otherwise. A weak battery discovered at pickup can delay the appointment while the driver waits for a jump or tow assist.

Check tire pressure

Inflate tires to the manufacturer recommendation. Soft tires make loading harder and can cause issues when the vehicle is chained or strapped on the trailer.

Remove toll tags

Take off E-ZPass, SunPass and similar transponders, or place them in a Faraday pouch. Tags left in place can rack up unintended tolls along the carrier’s route.

Disable alarms

Silence aftermarket alarms and share any disarm instructions with the person meeting the driver. An alarm that cannot be quieted may prevent the carrier from completing pickup.

Secure loose accessories

Remove or firmly secure antenna toppers, bike racks, spoilers that are not factory-mounted, and other loose add-ons. Anything that can catch wind on an open trailer should stay off the vehicle.

Take photos before pickup

Photograph all four sides, the roof, windshield, wheels and any existing damage in good light. Keep the files until after delivery and final sign-off.

Provide a spare key

Give the driver a working spare key or fob — not your only copy. The carrier needs access for loading, inspections and delivery without relying on your primary set.

Can I leave anything in the vehicle during transport?

Plan on an empty vehicle. Some carriers allow a small amount of soft goods below the window line within their own policy limits, but LoadX recommends removing all personal items. Confirm any exception with your coordinator before pickup — never assume the driver will accept cargo.

What if my vehicle does not run?

Tell us at booking. Inoperable vehicles need different equipment and handling. Surprising the driver at pickup can cancel the load for that day. Flag non-running status early so we match an appropriate carrier.

Do I need to be present for pickup?

Someone authorized to release the vehicle and sign the bill of lading must be available. Share the prep checklist and spare key with that person if you cannot attend.

When should I finish preparation?

Complete washing, emptying and photos the day before. On pickup morning, confirm fuel, battery, tires, toll tags and the spare key so nothing is rushed when the driver arrives.
